OrderPilot processes the business data needed to run an e-commerce operation: orders and buyer shipping details from connected sales channels, supplier catalogs and invoices, inventory and shipping records, and — when a business connects QuickBooks Online — the accounting records (accounts, bills, payments, journal entries) required to keep its books in sync. For platform users we store a name, email address, and login credentials (passwords are hashed; integration credentials are encrypted at rest).
Data is used solely to provide the platform's features to the business that owns it: importing orders, purchasing, shipping, inventory, reporting, and accounting synchronization. We do not sell data, do not use it for advertising, and do not share it with anyone except the services a business explicitly connects (for example, pushing an accounting entry to that business's own QuickBooks company).
When you connect QuickBooks, OrderPilot receives OAuth tokens scoped to the company you authorize. Tokens are stored encrypted and used only to read and write the accounting records that mirror your own business activity. Disconnecting the integration stops all access; you may also revoke access at any time from your Intuit account settings.
Each business account's data is isolated with per-tenant scoping and database row-level security. Users of one account cannot access another account's data.
Business records are retained while an account is active, because they form the operating history of the business. On request from an account owner we will delete the account's data, subject to legal record-keeping obligations.
Access requires authenticated sessions with per-user permissions and optional two-factor authentication. Integration credentials and tokens are encrypted at rest; transport is HTTPS throughout. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security; you use the service at your own risk and are responsible for safeguarding your own credentials and records.
OrderPilot is an operational tool, not a bookkeeper, accountant, or system of record, and it does not provide accounting, tax, legal, or financial advice. You are responsible for reviewing and verifying all data and outputs before relying on them and for keeping your own records. Your use of the service is also governed by our Terms of Service, including its disclaimers and limitations of liability.
